EvenSide — OpenActive Broker Disclosure

1. What is This Document?

This disclosure explains EvenSide’s role when you book a venue slot through our platform. It is shown to you before you proceed with any venue booking and must be accepted before the booking can continue.

2. EvenSide’s Role as a Broker

2.1. When you book a venue slot through EvenSide, you are booking directly with the venue operator (the “Seller”). EvenSide acts as a broker — we facilitate the booking on your behalf but we are not the provider of the venue, pitch, or facility.

2.2. The contractual relationship for the venue booking is between you and the Seller. EvenSide is not a party to this contract.

2.3. EvenSide facilitates bookings through the OpenActive open data standard, which enables real-time availability and booking across participating venues.

3. How Venue Booking Works

The booking process involves the following steps:

Step 1: Disclosure (This Document)

You are shown this disclosure confirming EvenSide’s role as a broker. You must accept it before proceeding.

Step 2: Quote (C1)

EvenSide requests a quote from the venue on your behalf. You are shown:

  • The venue name and facility details
  • The date, time, and duration of the slot
  • The venue’s price for the slot
  • EvenSide’s fee (shown separately)
  • The total amount you will pay

The quote is valid for a limited time (the “lease window”), after which it may expire and you would need to request a new quote.

Step 3: Customer Details (C2)

To complete the booking, the following details are shared with the venue:

  • Your name
  • Your email address

This is required by the venue to process and confirm your booking.

Step 4: Booking Confirmation (B)

Once you confirm and payment is authorised, the booking is submitted to the venue. The venue processes the booking and provides confirmation.

Step 5: Confirmation

You will receive confirmation through EvenSide. You may also receive a separate confirmation email directly from the venue.

4. Pricing

4.1. The price displayed for a venue slot consists of:

  • Venue price — set by the venue operator. EvenSide does not control or mark up the venue’s price
  • EvenSide fee — our fee for facilitating the booking, displayed separately at checkout

4.2. Both components are clearly shown before you confirm the booking.

4.3. The total amount is authorised on your payment method at the time of booking.

5. Your Data

5.1. When you make a venue booking, the following data is shared with the venue operator:

  • Your name
  • Your email address
  • Booking details (date, time, facility)

5.2. The venue operator may use this data in accordance with their own privacy policy to:

  • Process and confirm your booking
  • Send you booking confirmation or reminders
  • Contact you regarding changes to your booking

5.3. EvenSide is not responsible for how the venue operator uses your data after it has been shared with them for the purpose of the booking.

6. Cancellation and Refunds

6.1. Cancellation of venue bookings may be subject to both EvenSide’s and the venue operator’s cancellation policies.

6.2. EvenSide’s fee: Refundable if you cancel before the refund cutoff (see our Cancellation & Refund Policy). Venue slot bookings are always captured on the refund-cutoff basis — the confirmation-event capture that applies to cost-shared matches with a minimum-players setting does not apply to venue slot bookings.

6.3. Venue cost: Subject to the venue operator’s own cancellation and refund policy. Some venues may not permit cancellation or may charge a cancellation fee.

6.4. If the venue cancels the booking (e.g., due to facility closure or maintenance), you will receive a full refund of both the venue cost and EvenSide’s fee.

7. Venue Operator Responsibilities

7.1. The venue operator is responsible for:

  • The accuracy of facility information (name, address, type, surface)
  • The availability and condition of the booked facility
  • The safety and maintenance of their premises
  • Compliance with their own terms and conditions
  • Processing bookings and honouring confirmed reservations

7.2. EvenSide does not inspect, endorse, or guarantee the quality, safety, or suitability of any venue or facility listed on the Platform.

8. EvenSide’s Responsibilities

8.1. EvenSide is responsible for:

  • Accurately displaying availability and pricing as provided by the venue
  • Securely processing your payment
  • Facilitating the booking process between you and the venue
  • Providing customer support for booking issues on our side

8.2. EvenSide is not responsible for:

  • The venue’s facilities, condition, or safety
  • The venue operator’s conduct or decisions
  • Discrepancies between information provided by the venue and actual conditions
  • The venue’s own cancellation or refund decisions

9. Participating Venue Networks

9.1. EvenSide currently facilitates bookings at venues through the following networks:

  • EveryoneActive — A network of leisure centres and sports facilities across the United Kingdom

9.2. Additional venue networks may be added in the future. This disclosure applies to all venue bookings made through the Platform, regardless of the network.

10. OpenActive Standard

10.1. EvenSide uses the OpenActive open data and booking standard (https://openactive.io) to access real-time venue availability and facilitate bookings.

10.2. OpenActive is an open standard supported by Sport England and the Open Data Institute. It enables transparent, interoperable booking across participating venues and platforms.

10.3. By using the OpenActive standard, EvenSide ensures that:

  • Availability shown is sourced directly from venue systems in real-time
  • Pricing reflects the venue’s published rates
  • Booking data flows securely between EvenSide and the venue

11. Acceptance

By proceeding with a venue booking on EvenSide, you confirm that:

  • You have read and understood this disclosure
  • You understand that EvenSide is acting as a broker and is not the venue operator
  • You accept that the venue booking is subject to both EvenSide’s and the venue operator’s terms
  • You consent to your name and email being shared with the venue operator for the purpose of the booking
